What personal data we collect and why we collect it
Data collected in connection with the websites and it’s associated features:
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
We generally collect name and email address when you send a message on a contact form, if it is a form that is connected to arranging a phone/Skype/Zoom call then we will also collect a phone number/ Skype user name. The webform also captures the browser you are using (ie Chrome, Firefox, Safari etc) and the operating system – this is used if you are reporting a technical fault as such information can help identify connections if it’s an apparent random issue and ultimately speed up finding a technical solution.
We do this one of two ways either directly using a contact form on site or if also directly scheduling an apppointment via a scheduling service called acuity scheduling. You will find their privacy policy here. If you are setting up a Zoom call than you can find Zooms privacy statement here.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.
Sharing
Data Used: When sharing content via email, the following information is used: sharing party’s name and email address (if the user is logged in, this information will be pulled directly from their account), IP address (for spam checking), user agent (for spam checking), and email body/content. This content will be sent to Akismet (also owned by Automattic) so that a spam check can be performed.
Subscriptions to a post comments
Data Used: To initiate and process subscriptions, the following information is used: subscriber’s email address and the ID of the post or comment (depending on the specific subscription being processed). In the event of a new subscription being initiated, we also collect some basic server data, including all of the subscribing user’s HTTP request headers, the IP address from which the subscribing user is viewing the page, and the URI which was given in order to access the page (REQUEST_URI and DOCUMENT_URI). This server data used for the exclusive purpose of monitoring and preventing abuse and spam.
Activity Tracked: Functionality cookies are set for a duration of 347 days to remember a visitor’s blog and post subscription choices if, in fact, they have an active subscription.
Site Stats
Data Used: IP address, WordPress.com user ID (if logged in), WordPress.com username (if logged in), user agent, visiting URL, referring URL, timestamp of event, browser language, country code. Important: The site owner does not have access to any of this information via this feature. For example, a site owner can see that a specific post has 285 views, but he/she cannot see which specific users/accounts viewed that post. Stats logs — containing visitor IP addresses and WordPress.com usernames (if available) — are retained by Automattic for 28 days and are used for the sole purpose of powering this feature.
Activity Tracked: Post and page views, video plays (if videos are hosted by WordPress.com), outbound link clicks, referring URLs and search engine terms, and country. When this module is enabled, Jetpack also tracks performance on each page load that includes the Javascript file used for tracking stats. This is exclusively for aggregate performance tracking across Jetpack sites in order to make sure that our plugin and code is not causing performance issues. This includes the tracking of page load times and resource loading duration (image files, Javascript files, CSS files, etc.). The site owner has the ability to force this feature to honor DNT settings of visitors. By default, DNT is currently not honored

When we post an embed YouTube video, for example a TED talk clip, into the blog YouTube uses cookies for remembering your user preferences and to provide links to other videos that are relevant to you. Who we share your data with
There are certain features where your data will be shared with other parties in order to provide that particular function.
If your IP address is identified as providing mass spam comments that information is shared with the service we use to prevent Spam comments in order to help improve filtering of Spam.
If you sign up to the weekly blog roundup or other ecourses we use AWeber to facilitate those being sent – you can read their privacy policy here.
If you use the scheduling feature on the website that is provided by Acuity Scheduling and their privacy policy is here.
General information about the way this site is used along with information such as the countries readers visit from is shared with guest posters. This is anonymous information and can assist with how something is worded. For example commonly used words in one country are different in others ie Pavement and sidewalk. It can also provide guidance about if a piece of popular culture needs explaining, for example many Brits are familiar with the abbreviation of GBBO for the TV show Great British Bake Off but it’s a lot to expect someone in a country where this is not shown to automatically connect GBBO with a popular baking competition TV show.
If you choose to pay via a sent invoice from PayPal your email will be shared with their system in order to generate that invoice
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
If you have signed up to an e-course and/or the emailed weekly blog recap we will retain your data in order to keep sending your requested item until you request to be unsubscribed.

For example, The most common inaccurate or incorrect information we encounter is when there has been a typo or technical issue when completing a comment or signing up for the email services. If an automatic edit function is not available/showing for you then email website@coachingconfidence.co.uk for the change to be done manually.
The right of erasure/ to be forgotten
Whilst there are certain instances where legally we have to retain information (for example for accountancy and tax recording purposes for paying clients) you have the right to request your information is erased if there is not a compelling reason for us to store your information. We may also have to keep a record for administrative or for security reasons.
The right to restrict processing
You have the right to restrict your information from being used further.
The right to withdraw consent
You have the right to change your mind and withdraw consent at any time. The most common example of this with how we use your data is for any of the emailed features – you will find a link on each e-course email or in the weekly blog post recap that allows you to change your mind and unsubscribe to that service.
Your right to complain
If you are not happy with how your information is being handled than you have the right to complain to the appropriate authority that covers where you live. For example, for the U.K. this is the ICO (www.ico.org.uk)

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
If you wish to be removed from any e-courses or the weekly blog roundup you will find an unsubscribe link on any of the emails. Alternatively email a request to website@coachingconfidence.co.uk from the email address you wish removing. This will then be done manually so please note that there may be a crossover time between a manual removal and a scheduled post being emailed to you.

How we protect your data
We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorized access to systems.
